Title:  Part time Property Maintenance Administrator

Reports to: Anthony Smith – Director

Based at: Ivy House Lettings Ltd, Unit C Mendip Business Park, Mendip Road, Rooksbridge, Somerset, BS26 2UG

Job purpose:

To liaise with tenants, landlords, contractors and governing bodies to carry out maintenance, scheduled tasks and manage ongoing projects to completion.

Inspection work / maintenance

  • Carry out property inspections and seek maintenance opportunities
  • Follow up inspections with reports to landlords and log on Rentman software
  • Create maintenance jobs in Rentman software if required
  • Contact contractors to arrange quotations / repair
  • Negotiate commission arrangements with contractors
  • Liaise with landlords to win contracts and obtain authorisation for maintenance work
  • Schedule maintenance and ensure all parties are informed of actions to be taken.
  • On completion of works inspect and ensure it is carried out to required standard
  • Report to the landlord and ensure invoice raised by contractor
  • Raise invoice against contractor for commissions

Project manage – Problem properties with ongoing works

  • Arrange quotations in accordance with the mandatory work schedules submitted by the governing body
  • Negotiate commission arrangements with contractors
  • Obtain quotations and get authorisation for maintenance works by relevant person
  • Arrange works and liaise with all involved
  • On completion of works inspect and ensure it is carried out to required standard
  • Report to the landlord and ensure invoice raised by contractor
  • Raise invoice against contractor for commissions
  • Keep regulatory body informed of actions being taken
  • Maintain Fire regulations on Houses of Multiple Occupation
  • Carry out periodic  (monthly or weekly inspections) and log findings
  • Action works identified by inspections
  • Utilise any opportunity to gain maintenance works or additional landlords
  • Invoice landlord for inspection

Experience & Requirements:
Experience in Property maintenance and negotiation will be advantageous. Must be computer literate, well organised, have their own transport and the ability to self-manage.

The successful applicant will be subject to a Criminal Records check.

Salary and Hours:
Salary dependant on experience. Hours initially based roughly around 16 per week.
